Here’s how to refresh your design space, organize your creativity, and finally turn your Canva into the calm, functional workspace it was meant to be:

Step 01. Start by deleting what you don’t need
Before you even think about organizing, you’ve gotta ditch the dead weight.
Scroll all the way down your Canva library and start deleting the designs you know you’ll never use again. That random Black Friday promo from 2021? Bye. The “test” design with 17 fonts? GONE.
This is the fastest way to clear your dashboard and make space for the good stuff.
Hot tip: Don’t worry if you get a little too delete-happy. Just head to the Trash section in Canva—you can restore anything you accidentally booted. 🙃
Step 02. Create a folder system that actually makes sense
Let’s ditch the “Folder 1” chaos and bring in some clarity.
Start by creating folders for the different areas of your biz, for example:
📁 Social Media
📁 Banners
📁 Portfolio
📁 Client Projects
📁 Email Graphics
Inside each folder, you can add subfolders to break it further down – whatever matches your workflow.
Use clear, keyword-rich names you’ll actually remember. Because Canva is searchable. Use that to your advantage!
Step 03. Don’t forget about your uploads folder
This one’s easy to miss, but keeping your uploads tidy can save you so much time.
Go to the Uploads tab, click the three dots on any image, and move it into a folder. Group your assets by topic, project, client, whatever feels intuitive to you.
You’ll thank yourself later when you’re not scrolling endlessly to find “that one image.”
Step 04. Use Canva’s built-In tools to make life easier
Canva actually has some pretty handy tools built right in, perfect for keeping your workflow smooth and your designs consistent:
- Brand Kit: Store your logos, colors, custom graphics, icons and fonts in one place for easy access.
- Favorites: Use the heart icon to mark your most-used templates and find them faster.
Taking a few minutes to set up these now will save you a ton of back-and-forth down the line.
Step 05. Say hello to Canva’s new multi-format magic
This one’s HUGE: You can now create multiple formats in a single design file.
Yep, your LinkedIn square, IG feed rectangle, and Story format can now live happily in one file. No more tab overload. No more version confusion. Just clean, efficient, creative flow.
Step 06. Templatize templatize templatize
Once your Canva is clean and organized, here’s how to keep it that way: create a master file of templates you don’t touch. Ever.
Think of this as your personal “template vault.”
- Pick your most-used designs
- Save them in one Canva file (or folder) labeled something like:
“Templates – DO NOT EDIT” - Every time you need to use one, duplicate it first and work from the copy.
That way, your original templates stay intact and always ready for reuse—no more accidentally overwriting your favorite layout.
